When do course partners receive their subsidy payments?

Subsidy payment timing depends on the region and the payment agreement in place. In Youth on Course-paid regions, most course partners are paid through AvidXchange by check, ACH, or Virtual Credit Card.

Youth on Course subsidy reimbursement is tied to eligible Youth on Course rounds submitted in the Clubhouse, unless a separate flat-rate arrangement has been established.

Course partners should log Youth on Course rounds as close to real time as possible to help ensure accurate reimbursement and avoid delays. Before the end of each month, course partners should review their submitted rounds and confirm that all eligible Youth on Course rounds have been logged.

Payment timing may depend on which organization is financially responsible for subsidies in your region.

If your local Golf Association is responsible for subsidy payments:
The payment agreement will be made at the time of signing and may vary by region or association. Depending on the agreement, payments may be made monthly, quarterly, annually, or on another agreed-upon cadence.

If Youth on Course is responsible for subsidy payments:
Most course partners are paid through AvidXchange by check, ACH, or Virtual Credit Card. Payments are typically processed about 10–14 days after the end of the month for eligible rounds submitted in the Clubhouse.

Select course partners may have a flat-rate arrangement with Youth on Course. In those cases, Youth on Course will issue payment on the agreed-upon cadence outlined in the course partner agreement.

Course partners who do not opt in to ACH or Virtual Credit Card through AvidXchange will continue receiving a monthly check.

Helpful reminders:

  • Log rounds in the Clubhouse as close to real time as possible.
  • Use Bulk Round Entry if your course uses a sign-in sheet or needs to submit multiple rounds at once.
  • Confirm all eligible Youth on Course rounds are submitted before the end of the month.
  • Use the Clubhouse reporting tools to review submitted round totals.
