If a course submits rounds late, will they still be reimbursed?

Yes. Late rounds can still be reimbursed, but they will be processed based on the date they are submitted in the Clubhouse.

Yes. Rounds submitted after the end of the month in which they were played can still be reimbursed. However, because payments are calculated based on when rounds are posted in the Clubhouse, late rounds will be processed during the next monthly payment cycle.

For example, if a round played in January is not posted until February, it will typically be reimbursed in the March payment cycle, along with rounds posted for February.

To avoid delays and confusion, Youth on Course strongly recommends that course partners log rounds as close to real time as possible.

Course partners can submit rounds in the Clubhouse by using either Check-in or Bulk Round Entry.

For real-time check-in, course partners can:

  1. Click into a + Select a Member box.
  2. Search for the golfer using their Youth on Course member number or GHIN/handicap number.
    • Youth on Course member numbers begin with a lowercase y and are case-sensitive.
  3. Select the correct member.
  4. Complete the round details, including the course, round type or number of holes, and played date.
  5. Click the purple Check-in button to submit the round.

For courses using a sign-in sheet or entering multiple rounds at once, Bulk Round Entry is available in the left-side menu.

Bulk rounds can be entered manually by adding rows, or uploaded by CSV using the Download Bulk Form template. Each round must be tied to the member’s Youth on Course member number or GHIN/handicap number, along with the played date and round type.

Manual Bulk Round Entry can support up to 99 golfers at once. The Quick Start Guide also notes that real-time check-in supports up to 4 golfers at a time and that bulk entry is recommended for courses using sign-in sheets.
