How do course partners keep track of how many members play to receive the correct reimbursement?
Course partners track Youth on Course rounds by logging check-ins or bulk round entries in the Clubhouse.
Course partners should log Youth on Course rounds in the Clubhouse to ensure rounds are tracked for subsidy reimbursement.

The Clubhouse helps course partners check in members, track submitted rounds, view monthly activity, and access reports related to Youth on Course participation at their course.
To log rounds in real time, course partners can use Check-in. Course partners can check in up to 4 golfers at a time by searching each golfer’s Youth on Course member number or GHIN/handicap number. Youth on Course member numbers begin with a lowercase y and are case-sensitive. After selecting the correct member, course partners should complete the round details, including the course, round type or number of holes, and played date, then click the purple Check-in button to submit the round.
For courses using a sign-in sheet or needing to submit many rounds at once, Bulk Round Entry is available in the left-side menu. Bulk rounds can be entered manually by adding rows, or uploaded by CSV using the Download Bulk Form template.
Each bulk round must be tied to the member’s Youth on Course member number or GHIN/handicap number, along with the played date and round type. Manual Bulk Round Entry supports up to 99 golfers at once.
Course partners can also use the Reports section of the Clubhouse to review submitted round data, subsidy activity, and Youth on Course participation at their course. The Clubhouse dashboard also displays monthly check-in and subsidy totals, which refresh nightly.
