What is the fastest way for course partners to check Youth on Course members in?

The fastest way for course partners to check in Youth on Course members is to scan the barcode on the member’s digital membership card using the Find a Member field in the Clubhouse.

The fastest way for Youth on Course course partners to check in members is by scanning the barcode on the member's digital Youth on Course membership card directly into the Clubhouse.

Barcode scanning allows course staff to quickly locate the correct member without manually entering a Youth on Course member number or GHIN number. Once the barcode is scanned, the matching member appears in the Clubhouse so staff can verify their membership information and complete the round check-in.

How to scan a Youth on Course member at check-in

  1. Ask the golfer to open their digital Youth on Course membership card in the Youth on Course app.
  2. In the Clubhouse, click inside the Find a Member field.
  3. Scan the barcode displayed on the golfer's digital membership card.
  4. The matching Youth on Course member will automatically appear in the search results.
  5. Select the member to open their digital membership card in the Clubhouse.
  6. Review the member's information, including their membership status, age, expiration date, and earned achievements.
  7. Complete the applicable round details.
  8. Click Check-in to record the Youth on Course round.

Course partners can use this process to check in up to four Youth on Course golfers at a time, making barcode scanning particularly useful when multiple members arrive together.

What information can course partners see after scanning a member?

Once the member is selected in the Clubhouse, course staff can review the member's digital membership card before completing check-in. This provides important information needed to confirm the golfer's eligibility and any applicable course requirements.

Depending on the member, the card may display information such as:

  • Current Youth on Course membership status
  • Member age
  • Membership expiration date
  • Age Verification achievement
  • Course Ready or etiquette-related achievements
  • Other earned achievements associated with the member

Course partners should review the member card before completing the check-in to confirm the member meets any requirements established by the facility.

What if the course does not have a barcode scanner?

Barcode scanning is the fastest option, but it is not required to use the Clubhouse.

Course staff can also click Find a Member and manually search using the golfer's Youth on Course member number or GHIN number. Once the correct golfer is found, the remaining check-in process is the same.

Why should course partners check members in through the Clubhouse?

The Clubhouse is Youth on Course's system for recording and managing member rounds at participating golf courses. Checking members in when they play helps:

  • Accurately record Youth on Course rounds at your facility
  • Confirm the correct member and membership status
  • Give course staff visibility into relevant member achievements and requirements
  • Maintain accurate participation and course reporting
  • Ensure eligible rounds are included in Youth on Course subsidy reporting

Whenever possible, Youth on Course recommends recording member rounds at the time of check-in so course records remain accurate and up to date.
